Privacy at Aptikos

The exact information depends on the path you use and the choices you make. Aptikos is designed to connect demonstrated experience with role and company context, so the service may receive the following categories.

• Account and profile information, such as your name, email address, account path, saved profile details, preferences, and access records.
• Candidate materials, such as a resume, career history, target role, role-specific answers, work-style responses, assessment conversations, corrections, rewritten bullets, and sharing settings.
• Role and company context, such as role descriptions, scope, success criteria, company conditions, offer references, and the signals a recruiter or company chooses to review.
• Recruiter and company workspace records, such as uploaded resume batches, review notes, team access, applications, interviews, offers, retention work, and other records created in a supported workspace path.
• Pilot invitation and consent information, including the invitation relationship, consent state, first authenticated visit, access expiry, and cleanup status for a closed pilot tester.
• Technical usage information generated by the service or its hosting systems, such as browser or device details, request timestamps, status information, and error details needed to operate and protect the product.
• Billing information when a paid path is used, such as plan, subscription, transaction, token, and payment status records. Payment providers may receive payment details directly, while Aptikos may receive the records needed to provide the paid service.

Please provide only information you are allowed to share. For the approved pilot resume workflow, text-based PDF or DOCX files are intended to be redacted in the candidate browser before upload or analysis. Scanned or image-only resumes may require manual redaction or may be rejected because outside text extraction could process the original.

Aptikos may use information to:

• Create and maintain the account, candidate profile, recruiter seat, company workspace, or pilot access path you requested.
• Translate career evidence into role-specific summaries, transferable-skill bridges, questions for review, and other assistive working views.
• Let candidates review their own material and decide what selected information to share through an active, controlled link.
• Let recruiters and companies organize a focused review around a role, company conditions, evidence, uncertainty, and the next human question.
• Authenticate access, protect private workspaces and links, investigate errors, prevent misuse, and maintain service reliability.
• Provide support, handle applicable billing, manage pilot invitations and consent, and carry out the retention and cleanup behavior described for a given path.
• Understand product performance and improve the service in ways consistent with the permissions, path, and provider settings that apply.

Aptikos uses information for the purpose of the path and feature that receives it. A candidate assessment conversation, work-style answer, comparison, career guidance note, or benchmark snapshot is saved candidate work and is not treated as general recruiter content by default.

Private candidate data includes selected role lenses, work-style answers and notes, assessment chatbot messages and evidence, multi-role comparisons, career exploration and guidance, benchmark provenance, candidate-reported preparation examples, and other saved-profile work. These fields are not copied into recruiter links by default.

Public recruiter views use an explicit allowlist instead of spreading an entire saved profile. On an active unlisted link, a candidate can control five supporting sections independently: the bounded work-style interpretation summary, skill map, transferable skills, career signals, and rewritten bullets. The work-style option is off by default and shares the approved interpretation only. Raw answers, notes, chat messages, chat evidence, preference percentages, assessment questions, and private uncertainties remain outside that option.

Role-specific positioning and fit summaries belong to a separate role evidence flow. A Role Fit Brief share does not authorize sharing assessment answers, transcripts, full per-question responses, or private uncertainties. Candidate confirmation links are also limited to candidate-safe correction context, such as a name, selected role, extracted career history, targeted evidence questions and answers, optional context, and an accuracy confirmation. They do not show fit scores, confidence, priority groups, recruiter decisions, feedback drafts, retention forecasts, model internals, or other candidates.

A private link still acts as an access credential. Keep copied links within the intended audience, and disable or replace a link when its audience should change. The person who creates or sends a link remains responsible for choosing the audience and the material it is permitted to show.

Aptikos relies on service providers for infrastructure that may include hosting, authentication, storage, email delivery, payment processing, and AI processing. Stripe handles applicable payment flows. Providers receive the information needed for the service path they support and may have their own terms, security practices, and retention rules.

AI features can help organize evidence, summarize information, map adjacent capability, suggest questions, or draft language. AI output can be incomplete or wrong. It is an assistive view for review, and the person responsible for the candidate or work decision must evaluate the underlying evidence and context. Aptikos does not make an automatic employment decision from an AI output.

Aptikos does not control every provider backup, system log, support record, or legally required financial record. A deletion or retention request involving an outside provider may therefore require separate confirmation and may have a different timeline or outcome.

Retention depends on the account, workspace, sharing, billing, and pilot path involved. Users should remove material they no longer need from the supported controls available to them and contact Aptikos when a request requires review.

The closed pilot is invite-only and consent-gated. Each tester receives an individual 14-day access window that begins at the first authenticated visit through the invitation link, before consent acceptance. Access stops at that expiry even if cleanup is still pending.

The pilot cleanup workflow is designed to delete Aptikos-managed pilot records, stored files, derived analysis, access grants, invitations, share links, and other tracked pilot artifacts. It also creates requests for eligible data held by AI, Buildy, and Stripe providers and records an acknowledgement or retained-data explanation when one is available. The current workflow tracks those requests and acknowledgements; it does not represent that every provider request is submitted automatically.

You can make choices about the information you bring into Aptikos and how supported sharing works. Depending on the path, you may be able to:

• Review, correct, or remove candidate material within the controls available in your workspace.
• Choose whether to enable supported candidate sharing sections, and disable or replace an active private link.
• Decide whether to provide optional context, work-style information, assessment material, or a resume for a particular path.
• Ask Aptikos to review an access, correction, privacy, retention, or deletion request for the information associated with your account or pilot access.

Email hello@aptikos.com with the request and enough context for Aptikos to identify the relevant path. Aptikos may need to verify the requester and may need to explain a provider, backup, log, billing, or legal retention constraint. This draft does not promise a particular response time or outcome.

Aptikos uses access controls, scoped workspace boundaries, controlled sharing fields, high-entropy private-link credentials, and fail-closed checks in supported public readers. These measures reduce exposure, but no network transmission, storage system, or access link can be guaranteed risk-free.

Protect your account, invitations, and copied private links. Do not put sensitive material into a public channel or share a link beyond the audience you selected. Tell Aptikos promptly at hello@aptikos.com if you believe an account or link has been used by the wrong person.

Aptikos is in beta, and some paths are closed-pilot or invitation-based. Product behavior, provider arrangements, access controls, retention behavior, and available choices may change as the service is tested.
